How to ship artwork overseas. How to write an invoice for shipping to EURO member countries using Japan Post EMS

The process from shipping works overseas to arriving at the destination

I would like to write this down here as my own memorandum.

However, there is something I would like to disclaim first.

I have only used Japan Post's EMS to send packages overseas .

The reason is because I wanted to include the size of the baggage + freight and a compensation guarantee system .

I haven't used a courier yet

I cannot respond to the comparison with EMS.

3. Regarding history information after shipping.


After successfully packing and creating an invoice,

I will take the package and invoice and send it to the nearby post office.


✓For those who created it on a smartphone

Touch the "Yu-appli" installed at the post office to print the label.


✓ Those who created it on a computer

Print the invoice and sign with your own handwriting.

Separate the parts that need to be separated

 

Tell the receptionist that it is EMS (International Express Mail)

We will measure your luggage and add freight, compensation insurance (additional amount if necessary), and registered mail (optional).

Pay the total amount of freight + compensation insurance + registered mail

Your shipment is now complete.


*What is registered mail?

A record of the acceptance and delivery status of the package.

In the unlikely event that your package is damaged or does not arrive

This is a service that compensates for actual losses within a certain amount of compensation.

Portugal is an EU member country

The package was shipped on January 24, 2024 and arrived on February 27.

It took a month and three days

What kind of process did the baggage go through during that time?

This is the part I searched on the internet because I didn't know what was going on.

I later confirmed this with a staff member over the phone, so I would like to explain the three phrases to the best of my understanding.

I hope this will be helpful for those who are having trouble with the delivery status.



1. Present to customs for customs inspection (approximately 25 days, 1/29 to 2/23)

This refers to inspections conducted by customs officials at customs branch offices.

What we are inspecting is confirming that there are no discrepancies between the contents of the invoice and the package.

This is an examination through X-rays.

In some cases, packages may be opened.

(There was no opening of the package this time)

2. Received from customs (approximately 3 days from 2/23 to 2/26 )

This means that the contents have been checked and handed over from customs to the post office.

3. Transfer to other stations (approximately 3 days 2/23~2/26 )

It means that it was moved from the post office to a further local post office.

4. Arrive at the sorting station (approximately 1 day 2/26~2/27)

  means it has arrived at the nearest post office

  Your package will arrive soon

I think the number of days the package will be stuck at customs varies depending on the delivery situation.

All you can do is wait for it to arrive, keeping in mind that it will take some time.

Once the package leaves the domestic post office, customs and other countries' mailing companies will intervene.

You may not be able to understand the details

Therefore, add registered mail to track the package and provide historical information.
